The Office of the Registrar oversees enrollment and academic record keeping for New York Tech, and for you as an individual student. We are here to help when you register for classes, want to change your schedule or major, or need access to your academic records. Holds on Accounts

If you are having problems registering for courses, there may be a hold placed on your account. A hold appears in "My Tasks" in the Student Services HUB. A hold may be caused by one or more of the following:

  • Financial Hold: you do not have sufficient funds deposited in your account. Please contact the Bursar’s Office at vancouver.bursar@nyit.edu.
  • Cybersecurity Pre-requisite Hold: you are required to complete admission prerequisites. Your admission prerequisites are listed on the Terms of your Graduation Admission (see page 5 of your Acceptance Package)
  • Update Contact Information Hold: please complete your To-Do item in My Task in the Student Services HUB.

Drop a Class and Remain Registered in Other Classes

You can drop a class during the add/drop period. Please be aware of the following consequences of dropping a class:

  • If you are an international student and you drop below full-time, your immigration status may be affected.
  • If you drop below full-time, your financial aid may be reduced.

It is strongly recommended that you check with your department, Office of the Bursar (vancouver.bursar@nyit.edu), and/or Office of the Registrar (vancouver.registrar@nyit.edu) prior to a drop.

Withdraw from a Class and Remain Registered in Other Classes

A withdrawal from a class means dropping a class during the withdrawal period. Please be aware of the following consequences of withdrawing from a class:

  • You may have financial liability
  • Your financial aid may be reduced or canceled
  • Your immigration status may be affected
  • Your transcript will have a W grade (it does not affect the GPA)
  • Your path to graduation may be delayed
  • Your education cost may increase

It is strongly recommended that you check with your department, Office of the Bursar (vancouver.bursar@nyit.edu), and/or Office of the Registrar (vancouver.registrar@nyit.edu) prior to withdrawal.

To withdraw from a class, complete a Withdrawal from Course form and send to your instructor. The instructor will submit the form to the Office of the Registrar. Forms are not accepted when submitted by the student.

If you stop attending the class without submitting the Withdrawal from Course form, your instructor may assign a grade of UW (unofficial withdrawal). An unofficial withdrawal has the same consequences as an official withdrawal.

Withdrawing from New York Tech

Please ensure you understand the Withdrawal and Refund Policy. You cannot use the Student Service HUB to withdraw from all classes in a term.

If you wish to withdraw from New York Tech and request for a refund on your account, you must complete two forms:

  1. Withdraw From All Courses
  2. Refund Request Form – Please select the form below based on how and when the deposit payment was made:
    • Refund Request Form
      Use this form if the tuition deposit was paid by:
      • Flywire
      • TransferMate
      • Credit/debit card directly from the Applicant Dashboard or through the student account within 183 days
      • Electronic check (ACH) from the Applicant Dashboard or through the student account within 1 year (only valid for banks in the U.S.)
    • Wire Refund Request Form – Ascendant
      Use this form if the tuition deposit was paid by:
      • Credit/debit card directly from the Applicant Dashboard or through the student account more than 183 days ago.
        Must provide the credit card statement shows the transaction, date, cardholder’s full name and address.
      • Electronic check (ACH) from the Applicant Dashboard or through the student account more than 1 year ago (only valid for banks in the U.S.)
        Must provide the bank statement shows the transaction, date, account holder’s full name and address.

Once completed please send the forms to vancouver.bursar@nyit.edu.

Change of Personal Information

Please update your preferred first name, address, phone number, and Social Insurance Number in the Student Service HUB. Your preferred first name will appear on class and grade rosters as well as in the my.nyit.edu portal. Your official name will appear on your transcript and diploma.

To change the name that appears on your transcript and diploma, contact Office of the Registrar at vancouver.registrar@nyit.edu to schedule an appointment. Bring your signed Application to Change Personal Information form and your original supporting documents to the appointment. We will make copies of the original documents for our records.

Letters & Transcripts

  • Proof of Enrollment Certificate
    Once you have completed your course registration, you can download your Proof of Enrollment from the Student Service HUB (My Academic Records > New York Tech Vancouver > Proof of Enrollment)
  • Transcripts
    Official transcripts may be ordered online through the National Student Clearinghouse (NSC). Log in to the Student Service HUB to order an official transcript. If you do not have access to the HUB, you may order transcripts directly through NSC at getmytranscript.com. You may choose electronic delivery as a PDF file or opt to receive a paper copy by mail. The transcript fee is $15 USD plus any applicable fees.
  • Completion Letter
    Once you are approved for graduation, you can download your Final Degree Completion Letter from the Student Service HUB (My Academic Records > New York Tech Vancouver > Final Degree Completion Letter)

Leave of Absence

Should you require to take a semester off, you must complete and sign a Maintenance of Matriculation Form. For more information, please contact the Office of the Registrar at vancouver.registrar@nyit.edu.

Graduation Requirements

To graduate, you must:

  • Fulfill all requirements for your degree (as listed in the catalog in effect on the date of admission/readmission). See our Graduation Evaluation Guidelines for additional information.
  • Meet the minimum cumulative GPA required for your program.
  • Apply for graduation online via the Student Service HUB.
  • Be recommended by your department head, who will submit a signed degree audit evaluation to the Office of the Registrar.
  • Comply with application deadlines listed on the academic calendar.

Applying for Graduation

Graduating students should apply for graduation at the beginning of their final semester. Applying for graduation is separate from your decision to attend Commencement.

Complete and file an online application to graduate through the Student Service HUB by the deadlines below:

  • September 22, 2023 – for (Fall) December 31, 2023 conferral date
  • February 16, 2024 – for (Spring) May 31, 2024 conferral date
  • March 29, 2024 – for (Summer) August 31, 2024 conferral date

If you are unable to apply for graduation or for further information, please contact the Office of the Registrar at vancouver.registrar@nyit.edu.

Conferral Date

The conferral date is the date on which a student’s degree is awarded. The conferral dates for each semester are:

  • Spring Semester – May 31
  • Summer Semester – August 31
  • Fall Semester – December 31

Students will be reviewed by the Graduation Office throughout the semester, but cannot be graduated prior to the conferral dates for the term in which they apply for graduation.

Getting Your Diploma

A CeDiploma® is available for students who graduate December 2019 and onward. Your CeDiploma® will be available within 5-7 weeks after you are approved for graduation. You will receive an email with a link to download your credential when it is available from our trusted partner, CeCredential Trust™. Be sure to register for your free account directly on the CeCredential Trust™ website in order to have lifetime access to your CeDiploma®. You will be notified via email when your paper diploma is ready to be picked up at the Broadway Tech Centre Campus (Suite 310, 2925 Virtual Way, Vancouver, B.C. Canada).
