Please see below important documents that you may need during your studies. The registrar office requires many different forms. All forms can be found here.

Holds on Accounts

If you are having issues registering there may be hold on your account. You will see the holds on your student account as a red stop sign. You can click on the stop sign to see what type of hold you have. Some of the causes for holds are:

  • Financial hold. If you have not deposited sufficient funds into your account. Please contact the bursar at vancouver.bursar@nyit.edu.
  • You might have a pre-requisite hold if a course has a pre-requisite required. You should contact the Assistant Dean for your program to get approval.
  • Registration Hold – registration period has not opened yet. If registration is open, please contact the registrar at vancouver.registrar@nyit.edu.

Change in Courses or Withdrawing from New York Tech

Withdrawing from Courses

During the add/drop period you are able to drop classes and add in new ones in your Student Service HUB.

After the Add/Drop period, if you withdraw from a course you must use the Withdrawal From Course. This form requires approval from the instructor. Once approved, provide the form to the registrar.

Once completed please send the form to vancouver.registrar@nyit.edu.

Withdrawing from New York Tech

Please ensure you understand the Withdrawal and Refund Policy.

If you would like to withdraw from New York Tech completely and apply for a refund of funds in your account you will need to complete two forms.

  1. Withdraw From All Courses
  2. Request for a Refund – Please select the form below based on how payment was made and date since payment was made:
    • Refund Request Form
      Use this form if the tuition deposit was paid by:
      • Flywire
      • TransferMate
      • Credit/debit card directly from the Applicant Dashboard or the student account within 183 days
      • Electronic check (ACH) from the Applicant Dashboard or the student account within 1 year (only valid for banks in the U.S.)
      • Bank draft in 2019 by the student (this payment method is no longer accepted)
        Must submit the bank statement that shows the bank draft purchase and the student (account holder) full name.
    • Wire Refund Request Form – Ascendant
      Use this form if the tuition deposit was paid by:
      • Credit/debit card directly from the Applicant Dashboard or the student account more than 183 days ago.
        Must provide the credit card statement shows the transaction, date and cardholder’s full name.
      • Electronic check (ACH) from the Applicant Dashboard or the student account more than 1 year ago (only valid for banks in the U.S.)
        Must provide the bank statement shows the transaction, date and the account holder full’s name.
    • Check Refund Request Form (if student is not the payer)
      Use this form if the tuition deposit was paid by:
      • Bank draft in 2019 by a third party (this payment method is no longer accepted)
        Must provide the bank statement shows the bank draft purchase transaction, date and the account holder’s full name.

Once completed please send the form to vancouver.registrar@nyit.edu.

Name Changes and Other Personal Information

If you notice on your student account your name is incorrectly spelled or you birthdate is incorrect, you will be required to request that this information is updated. Please complete the the Application to Change Personal Information Form. You must return this form in person to the Vancouver Registrar’s office. You will be asked to verify your information by providing proof with your passport. If you are not in the country, please contact the registrar to arrange a Zoom call where you will also have to provide proof with your passport.

Letters & Transcripts

There are some different requirements for New York Tech Vancouver students that you won’t find mentioned in the main website.

  1. Proof of Enrollment Certificate

    You may find that you require an Enrollment letter. These letters become available for you at the beginning of each semester once you have registered for classes. You can obtain your Proof of Enrollment Certificate automatically through the Student Service HUB. You will find it under the Academics tab.
  2. Transcripts

    You can use the online transcript ordering website (http://www.getmytranscript.com/) to order paper or electronic transcripts.
  3. Completion Letter

    You may require a completion letter after your last term of your program. This letter is used for immigration purposes as well as confirming with employers you have graduated.

The graduation office in New York will review and approve all the applications before the completion letter can be issued. This takes about 4-5 weeks after the conferral date (please see the dates below).

Once the Graduation Office has approved the applications, a link to access the Degree Completion Letter will be activated in your Student Service HUB.

You can apply for transcripts as soon as all the grades are posted. Please use the online transcript ordering website (http://www.getmytranscript.com/) to order paper or electronic transcripts. Please note that the degree does not appear on the transcript until they are approved and graduated in the system at the same time that completion letters become available.

Taking a Term a Off

Should you require to take a term off, you will be required to submit a Maintenance of Matriculation Form. Once completed please send the form to vancouver.registrar@nyit.edu. There is a fee of $100 for this request. This fee is subject to change.

Graduation Requirements

To graduate, you must:

  • Fulfill all requirements for your degree (as listed in the catalog in effect on the date of admission/readmission). See our Graduation Evaluation Guidelines for additional information.
  • Meet the minimum cumulative GPA required for your program.
  • Apply for graduation online via the Student Service HUB.
  • Be recommended by your advisor, who will submit a signed degree audit evaluation to the Office of the Registrar.
  • Comply with application deadlines listed on the academic calendar.

Applying for Graduation

Graduating students should apply for graduation at the beginning of their final semester. Applying for graduation is separate from your decision to attend Commencement.

Complete and file an online application to graduate through the Student Service HUB by deadline below:

  • September 24, 2021 – December 31, 2021 Conferral
  • February 18, 2022 – May 31, 2022 Conferral
  • June 26, 2022 – August 31, 2022 Conferral

Invitation Letter for Graduation Ceremony

New York Institute of Technology is no longer issuing invitation letters for visa purposes. According to IRCC, graduates can provide their own invitation letters using the guidance on the IRCC website.

Conferral Date

The conferral date is the date on which a student’s degree is awarded. The conferral dates for each semester are:

  • Spring Semester – May 31
  • Summer Semester – August 31
  • Fall Semester – December 31

Diplomas

Paper diplomas are available approximately 6 to 8 weeks after students receive their official approval notification from the Graduation Office in New York.

Students are able to access to the electronic diploma approximately 5 to 7 weeks after students are approved for graduation at https://cediploma.nyit.edu.
